Additional Registration Information

Registration
Aldersgate Camp accepts everyone regardless of race, color, creed, sex, handicap, or national origin. All campers are expected to be ambulatory and able to feed, clothe, and bathe themselves. Facilities are rustic, and the terrain and program are rugged.

Incomplete forms and forms without a $60 nonrefundable deposit will be returned, and the camper will not be registered for their camp. Both camper and parent signatures are required for campers 10 years of age (at the time of registration) and older.

Payment:
Any camp fee balance for which campers are responsible must be paid in full 2 weeks before the beginning of the camp.

For your convenience, Visa & MasterCard can be used to pay summer camp fees.

Confirmation:
Upon receipt of a complete registration form and entire camper fee balance for which campers are responsible, campers will be sent a confirmation by mail or email. If you are placed on a waiting list, you will receive a waiting list confirmation card or email. Registrations will not be confirmed until the entire fee is paid.

Scholarships:
Many churches offer scholarships for part of or all the camper fees. Contact your local church for more information.

Scholarships are available from Aldersgate Camp upon request and eligibility. Please call (606) 723-5078 or email office@aldersgatecamp.org for more information.

Refund Policy:
If for any reason a camper is unable to attend, please notify Aldersgate at (606) 723-5078 immediately so that his or her spot can be filled. A full refund (minus a $60 processing fee) will be made providing another camper can be substituted. “No shows” will not be refunded and will be expected to pay the fee in full (including the church’s portion.)

Cabinmate Assignments:
Cabinmate preference will be considered but is not guaranteed.

Housing Assignments:
Housing for each camp program may change without notice due to unforeseen circumstances.

Insurance:
Primary coverage is the camper’s family insurance in case of accident or illness at camp. Limited secondary insurance is provided. Campers’ personal property is not insured.

Canteen:
Canteen cards are now covered for each camper in the cost of the camp fee.

Merchandise:
Camp t-shirts & water bottles cost $10 or $15 and may be purchased at registration or on the last day of camp.

This summer’s t-shirt can be pre-ordered during online registration for $15. Payment for pre-ordered shirts is due with final payment of camper fee.

Check-In
Aldersgate is located in the Eastern Time Zone.
Please remember to eat lunch before you arrive. Campers’ first meal is dinner.

Full Week: Monday at Chapel: 1-2 p.m. (No early arrivals please.)

Half Week: Monday or Thursday at Chapel/Cottages: 1-2 p.m. (No early arrivals please.)

Check-Out
Anyone, including parents, picking up campers must be written on the pre-approved pickup list and bring photo identification.

Full Week: Saturday at Large Pavilion/Small Pavilion/Cottages/ Megazebo: 11 a.m.

Half Week: Wednesday or Saturday at Cottages: 11 a.m.

Early Pick Up: Please provide a written statement of when the camper will be picked up. Please meet your camper at the office to sign him/her out of camp.

Lost and/or Damaged Items
Aldersgate is not responsible for lost or damaged items not belonging to the camp. Campers are responsible for any damage they cause to camp property above normal wear and tear.

Contact
Phone Calls:
Campers may not use the telephone except to return emergency calls from immediate family. Please refrain from calling campers; however, please feel free to call the camp office if needed. Cell phones brought by campers will be secured in the office until the end of the week.

Mail:
Campers love to receive mail. Mail can be dropped off during check-in or mailed to the camp office. We have “mail call” at lunch Tuesday-Friday. We do our best to deliver mail as we receive it; however, due to our rural location, we cannot guarantee when mail will arrive. To ensure mail is delivered on a certain day, please note delivery day and drop it off during check-in.

Please print camper’s name and specific camp title on all mail (i.e. Phillip Wilson – Senior High Cabin).

Email
Campers may receive email for a fee of $1 per message at office@aldersgatecamp.org. Please include the camper’s name and specific camp in the subject line of the e-mail. The $1 fee per email should be paid at registration. E-mail received after 11:00 a.m. will be delivered the next day. Campers are not allowed to send email from camp.
